Organizing and Refining Extracted Data

The Refine Data page of the Data Extraction wizard lets you modify the structure of the data extraction table before exporting it to a table or to an external file.

You can do the following:

  • Change the column order by drag and drop

  • Show or hide the Count and Name columns

  • Sort data in the table

    Clicking the columns header lets you sort the entries based in that column values. Sequential clicks switch between ascending and descending order.

  • Insert a formula column

    You can insert arithmetic expressions to calculate results based on the values from the specified columns. An icon icon_formula marks the formula column.

The following options are available:

  • Combine identical rows. Groups identical rows in the table and updates the Count column accordingly.

  • Show count column. Displays or hides the Count column.

  • Show name column. Displays or hides the Name column.

  • Link External Data. Displays the Link External Data dialog box, which allows you to link external Microsoft Excel files.

  • Full Preview. Displays the preview of the table in a dialog box.

To insert a formula column in the extracted data:

  1. On the Refine Data dialog box, right-click a column and select Insert Formula Column from the menu.

  2. In the Insert Formula Column dialog box, in Column name, specify the name of the formula column.

  3. From the Column list, specify the columns to use in the formula:

    • Double-click the column name to add the column to the formula field.

    • Drag and drop a column to the formula field.

  4. Click an operator button to add it to the formula field.

  5. Add columns, operators and values as necessary for the formula.

  6. Click Evaluate.

    Note: You can use only valid formulas.

  7. Click OK.

    The formula column appears in the table.

To edit a formula in the extracted data:

  1. On the Refine Data dialog box, right-click a formula column and select Edit Formula Column.

  2. Modify the formula as necessary and click Evaluate.

    Note: You can use only valid formulas.

  3. Click OK.

To remove a formula from the extracted data:

  • In the Refine Data dialog box, right-click a formula column and select Remove Formula Column.
